Barcode Manager Help
Overview
The Barcode Manager system helps you create and manage barcode labels for stock items in HireHop. It supports two workflows:
- Print Labels Only - Pre-print labels to keep a stock on hand, without adding assets to HireHop yet
- Create in HireHop - Create assets directly in HireHop and print labels immediately
Barcode Format
Barcodes follow the format: PREFIX-NUMBER
- Prefix - 2-10 characters identifying the stock type (e.g., BAT, CAM, MIC)
- Number - Sequential number automatically assigned
Example: BAT-1, BAT-2, CAM-15
Generating Labels
Use the Stock Browser tab to find and select the item you want to create labels for. Click on a row to select it.
Click the "+ Generate" button in the detail panel, or switch to the Barcode Generator tab.
Enter a prefix (or use the suggested one) and the number of labels you need. Check "Save prefix" to remember it for this stock item.
Click "Preview" to see the barcodes that will be generated. The system automatically finds the next available numbers.
Select one of the two options:
- Print Labels Only - Reserves the barcode numbers and opens the print dialog. Labels are NOT added to HireHop. Use this to build up a stock of pre-printed labels.
- Create in HireHop - Creates the assets in HireHop immediately, then offers to print labels.
Print Labels Only vs Create in HireHop
| Feature | Print Labels Only | Create in HireHop |
|---|---|---|
| Reserves barcode numbers | Yes | Yes |
| Creates assets in HireHop | No | Yes |
| Opens print dialog | Yes | Yes |
| Best for | Pre-printing label stock | Immediate asset creation |
How Barcode Numbering Works
The system ensures you never get duplicate barcodes by checking:
- HireHop - Scans all existing assets (including deleted/erased ones) to find the highest number for each prefix
- Local Counter - Tracks labels that were generated but not yet added to HireHop
The next number is always one higher than the maximum found in both sources.
Asset Statuses
| Status | Description |
|---|---|
| In Stock | Asset is available |
| Flagged | Asset needs attention |
| Damaged | Asset is damaged |
| In Repair | Asset is being repaired |
| Lost | Asset is lost |
| Sold | Asset has been sold |
| Erased | Asset deleted in HireHop (hidden by default) |
Printing Requirements
- Dymo LabelWriter - A Dymo LabelWriter printer must be connected
- Dymo Connect - Dymo Connect software must be installed and running
- Windows - Label printing only works on Windows (Mac not supported due to SSL issues)
- Label Templates - Use .dymo template files; upload custom templates in the print dialog
Tips
- Use consistent prefixes for the same type of stock (e.g., always use "BAT" for batteries)
- Check "Save prefix" to remember your prefix choices for each stock item
- Use "Show erased" checkbox to see deleted assets (useful for troubleshooting)
- The "Print All" button in Stock Browser prints labels for all existing assets of a stock item
HireHop Integration
This system integrates with HireHop via the barcode button in the HireHop asset management page. When you click "Barcodes" in HireHop:
- If an asset is selected, it opens the Barcode Manager for that stock item
- If no asset is selected, it opens the Barcode Manager home page
